Badge Refund Policy

All cancellation and refund requests must be submitted in writing to DiceAndDestinyConRegistration@gmail.com. Refunds will be processed based on the date the written request is received, and a $10 administrative processing fee will be deducted from all approved refunds. Refund amounts are as follows: 100% refund (minus $10 fee) for cancellations received 60 or more days prior to the convention start date; 75% refund for cancellations received 45 to 59 days prior; 50% refund for cancellations received 30 to 44 days prior; 25% refund for cancellations received 15 to 29 days prior; 10% refund for cancellations received 7 to 14 days prior; and no refund for cancellations received less than 7 days prior to the convention start date. No refunds will be issued for any reason, including medical, travel, family, or weather-related emergencies, within 7 days of the event. Badge transfers to another attendee are not permitted under any circumstances.


Vendor Booth Refund Policy

Refunds will be processed based on the date the written request is received, and a $50 administrative processing fee will be deducted from all approved refunds. Refund amounts are as follows: 100% refund (minus $50 fee) for cancellations received 90 or more days prior to the convention start date; 75% refund for cancellations received 60 to 89 days prior; 50% refund for cancellations received 45 to 59 days prior; 25% refund for cancellations received 30 to 44 days prior; 10% refund for cancellations received 15 to 29 days prior; and no refund for cancellations received less than 15 days prior to the convention start date. Failure to occupy the booth space by the designated move-in time on the first day of the convention will result in forfeiture of the full booth fee, and no refund will be issued for any reason, including medical, travel, or weather-related emergencies, within 15 days of the event. Booth transfers or substitutions to another vendor are not permitted under any circumstances.


Venue & Hotel Policies

Is the convention space shared with hotel guests? Yes. Dice & Destiny Con is being held at the DoubleTree by Hilton Houston Intercontinental Airport. The convention is hosted in designated meeting and event spaces. All public areas of the hotel—including the lobby, hallways, restrooms, pool, and fitness center—remain accessible to all hotel guests, convention attendees, and the general public. Please be respectful of other hotel guests during your time at the event.

Are there areas that are restricted to convention attendees only? Yes. All convention function rooms and panel spaces require a valid convention badge for entry. Hotel guest rooms, the pool area, and other hotel amenities are not part of the convention space and are accessible only to registered hotel guests.

What are the cosplay and costume guidelines? Cosplay is encouraged and celebrated at Dice & Destiny Con. We love seeing your creativity, craftsmanship, and self-expression—whether you're in full armor, elegant gowns, or something a little more daring. However, please be mindful that we share the hotel with other guests, including families with children. We ask that you use good judgment in public areas such as the lobby, hallways, restrooms, and pool. If your costume leans more revealing or explicit, we kindly ask that you save it for designated 18+ event spaces where attendees are there by choice. This is not about censoring you—it's about making sure everyone feels comfortable and respected in shared spaces. Convention staff may ask you to adjust or cover parts of your costume if it is not appropriate for the setting. We trust our community to be thoughtful and respectful of one another.

Is it okay to take photos of cosplayers? Always ask for permission before taking a photo. Cosplay is not consent. Please be respectful and ask the cosplayer before you take any photograph or video. If they decline, thank them and move on. This policy is strictly enforced.

Will there be children at the convention? Yes. Dice & Destiny Con is an all-ages event during the day, and families with children are welcome in all convention and hotel public spaces. Please be mindful of your language, behavior, and costuming when in shared public areas.


Tickets & Badges

What does my badge include? Your badge grants access to all convention events, panels, gaming areas, vendor hall, and artist alley for the day(s) indicated on your badge. Some events may require additional tickets or registration due to limited capacity.

How do I pick up my badge? Badge pickup is available at Registration during convention hours. You will need to present a valid photo ID matching the name on your reservation.

Are there ID requirements for certain events? Yes. All 18+ events and panels require valid government-issued photo ID for entry. No exceptions will be made. This includes drag shows, burlesque performances, and any events explicitly marked as 18+ or 21+.

Do children need a badge? Children under 6 receive free admission with a paying adult, but must be accompanied by an adult at all times. Please check our ticket page for details.

What is your refund policy? Please refer to our refund policy page for detailed information. Refund requests must be submitted in writing to DiceAndDestinyConRegistration@gmail.com. Administrative fees apply.


Events & Programming

How do I sign up for events or tournaments? Event registration is available online and at the convention. Some events may require advance sign-up due to limited space. Check the convention schedule on our website for details.

Can I submit a game or panel to run? Yes. Panel and event submissions are welcome. Please email DiceAndDestinyConInfo@gmail.com with your proposal.

Are there age restrictions for events? Some events are marked as 18+ or and will require valid ID for entry. All other events are all-ages unless otherwise noted.


Vendors & Artists

How do I apply for a booth or artist table? Vendor and artist applications are available on our website. Please email DiceAndDestinyConVendors@gmail.com with any questions.

What is included with a booth? All vendor and artist spaces include a table, two chairs, and the number of badges specified in your application. Additional badges may be purchased separately.

Can I share my booth with another vendor? Booth sharing is permitted only with prior written approval from the organizer. Please contact DiceAndDestinyConVendors@gmail.com for approval.

How do I apply for a vendor or artist booth?

All vendor and artist applications are submitted through our Tabletop.Events page. Click the "Apply to Exhibit" button on the convention website, fill out the application form, and submit it for review. You will receive an email notification once your application has been reviewed.

Early Bird Discounts: - Early Bird 1 (25% off): Available 6–9 months prior to the convention. - Early Bird 2 (15% off): Available 3–6 months prior to the convention.

How do I get the early bird discount?

Early bird discounts are applied using a discount code. After your application is approved, you will receive an email with the current early bird code. Enter this code during checkout to receive the discount. Discount codes must be entered at the time of purchase.

What is included with my booth?

All vendor and artist spaces include the number of tables, chairs, and badges listed in the booth package. Additional badges may be purchased separately.

When do I pay?

Payment is completed during the checkout process after your application has been approved. You are not charged at the time of application. Your booth space is not confirmed until payment is completed.


Film Submissions

What films are you looking for? We are accepting fantasy genre films—including sci-fi fantasy, horror fantasy, dark fantasy, urban fantasy, and related subgenres. Films must have been completed within the last two years.

How do I submit a film? Please email the following information to DiceAndDestinyConVendors@gmail.com: film title, runtime, genre, a brief synopsis, cast and crew credits, and a digital copy of the film. Physical media may also be mailed. For more details, please refer to our film submission page.

Do I need to own the rights to my film? Yes. All submissions must be the original work of the submitter. You must own all rights or have obtained written permission from all rights holders. Films containing copyrighted material without proper licensing will not be considered.


Photography & Filming

Can I take photos at the convention? Photography is permitted in all public convention areas, including the vendor hall, artist alley, and gaming spaces. However, you must always ask for permission before photographing or filming any attendee, cosplayer, artist, or vendor. Cosplay is not consent. Do not photograph anyone without their explicit consent.

Can I film or record panels? Filming and recording of panels are permitted only if you have received prior permission from the panelists. Some panelists may decline filming for personal or professional reasons, and their wishes must be respected. If permission is granted, please be courteous and do not disrupt the panel or obstruct the view of other attendees.

Can I film performances or stage events? Filming of performances, stage events, and on-stage programming is generally allowed unless specifically stated otherwise. However, some performers may prohibit filming, and their instructions must be followed. Please check with convention staff or read event signage before filming.

Are there restrictions on filming 18+ events? Yes. Filming and photography are strictly prohibited during any 18+ performances, including drag shows and burlesque performances. This policy is in place to protect the safety and privacy of the performers. Anyone found filming or photographing 18+ events will be asked to leave the event immediately and may have their convention badge revoked.

Can I film the film screenings? No. Filming or recording of any film screening is strictly prohibited without the express written permission of the filmmaker. This policy protects the intellectual property and distribution rights of the filmmakers who have submitted their work to the convention.

Can I live stream from the convention? Live streaming from public convention areas is permitted, but you must obtain permission from anyone who appears in your stream. Live streaming of panels, performances, or film screenings requires additional permission from the panelists, performers, or filmmakers involved. What if I am press or media? Press and media members with valid credentials may have additional permissions. Please contact DiceAndDestinyConInfo@gmail.com for press accreditation and filming guidelines.


Safety & Conduct

What is your code of conduct? We are committed to providing a safe, inclusive, and harassment-free experience for all attendees. Harassment, discrimination, or disruptive behavior of any kind will not be tolerated. Please report any concerns to convention staff or hotel security immediately.

What if I need assistance during the convention? Convention staff and volunteers will be clearly identified and available to assist with any questions or concerns. Hotel security is also on-site.


Shipping & Mail

Can I mail something to the hotel in advance? Yes, but arrangements must be made in advance with both the hotel and convention staff. All packages must be clearly labeled and approved. Please contact us for specific instructions.

How do I send a physical film submission? Physical media may be mailed to our P.O. Box. Please email DiceAndDestinyConVendors@gmail.com for the address and submission instructions.
