2026 DETAILS
Welcome to our very first TWO-DAY in-person Convention at DICKENS PUB in Calgary, Canada!.
There are now three gaming slots for you to schedule your games in and two Happy Hours to win prizes and tell gaming stories with friends!
GAME SLOTS SCHEDULE

Game start times must match the Game Slot's start time of either 11 AM or 4:30PM. The Why is so we can get everyone check-in at the same time, and then free up our check-in volunteers to go play games.
Game Length should be no more than 4 hrs. Game Slots' end times are hard stops, as table switching and clean up has to happen.
Run any game system you want! Dungeons and Dragons, Mothership, Cairn, Call of Cthulhu, Any Borg Game, all good stuff.
Safety Tools are mandatory to help create a safe and respectful gaming experience for everyone.
The X-Card is our default safety tool and we will supply them for your table along with pencils and name plates for your players.

GAME RUNNERS
GAME RUNNERS are the heart and soul of the TTRPG community and we want to do everything we can to make this a FUN event for you!
So you will be given a GAMER RUNNERS BADGE so you can PLAY for FREE, enter all the PRIZE CONTESTS and have EARLY ACCESS to game sign ups.
And you get the Early Bird Dice Special.
VOLUNTEERS
When you Volunteer you will be given a Very Important Gamer Badge (VIG), so you can PLAY for FREE, enter all the PRIZE CONTESTS and have EARLY ACCESS to game sign ups.
And you get the Early Bird Dice Special.
You must actually show up on time and work all your shifts to get the VIG Badge.
YOUR GAME RUNNER RESPONSIBILITIES
1) You must read the CON POLICIES & SAFE SPACE CODE of CONDUCT page. By making your submission you are agreeing to adhere to it, enforce it and to use some sort of safety tool at your game for everyone’s safety and gaming fun. The default safety tool is the X-CARD and we will provide these to you.
2) You also agree to communicate well with the Organizers, your Players, and to be on time. Any No-Shows who don't communicate their cancellations to RPGA Con (see cancellations below), may be banned from further RPGA CON events.
3) Plan to spend around 10 - 20 mins for PLAYER ORIENTATION, many are BEGINNERS and need a walk thru of your games basic rules and pre-gen selections.
4) Game and Workshop scheduling: please DO NOT PICK EVENT TIMES THAT CONFLICT WITH THE DAILY HAPPY HOURS, that's when we plan our PRIZE DRAWS, CONTESTS, AND SOCIAL EVENTS. Check the GAME SLOTS times listed above and choose one of those.
5) You must have a Tabletop Events Account with a First and Last Name so that we can assign you a Game Runner Badge.
IF YOU NEED TO CANCEL PLEASE:
Let us know by EMAIL to rpgaconyyc@gmail.com so we can help contact all of the players and get them into new games.
Let your players know as soon as possible using the message system on your Tabletop Events game event page;
Cancel your event in TTE under HOST > SUBMISSIONS; and, Click on Manage, choose Cancel.
Put a note in your Game's Discord text channel. This all helps get the message out to your players so they have time to find another game. We appreciate as much notice as you can give.

OPTIONAL GAMING INITIATIVES
We are an INCLUSIVE GAMING COMMUNITY, and this is reflected in our two gaming initiatives where you have the option of running your game as a CHARITY GAME and/or a DIVERSITY-EQUITY-INCLUSION GAME.

WHY DISCORD for an IN-PERSON con???
Because it helps you and your players get excited for your games, create characters or choose pre-gens, and just talk about this wonderful hobby of ours!
Discord did feature improvement to their VOICE CHANNELS so we no longer need separate voice and text game channels. All game channels will now be set up as voice, and will have an integrated text channel built into them. the only real "trick" is that you have to mouse over the voice channel name which will pop up the text icon. See below for example:
