MIDWINTER CONVENTION RULES

By purchasing a Midwinter Gaming Convention badge you agree to abide by the rules and policies set by Midwinter Gaming Convention. If you have questions, please ask a staff member. Midwinter Gaming Convention reserves the right to revoke the badge(s) of any guest(s) at any time for any reason.

The Exhibit Hall is not open to the public, a badge is required to access all areas of the convention. Thank You for your support!

Outside Food & Beverage may not be consumed in the convention spaces. Only food purchased within the Hilton is allowed. If you want to consume food/beverages brought in or delivered, you will need to consume them in your hotel room or in the common spaces of the Hilton. The Hilton will charge Midwinter $300/incident for Outside Food & Beverages so please help us out with this situation.

Midwinter Gaming Convention is a harassment free zone and will not tolerate harassment of any kind. If you feel uncomfortable in any situation, please notify a member of Event Staff. We will protect your right to feel safe at our event and will investigate any situation, taking appropriate action. We welcome Guests of all genders, sexualities, ethnicities, religions, abilities, ages, and experiences. Inclusion has always been and always will be a core value at Midwinter. We welcome diversity and everyone has a seat at our table.

Midwinter Gaming Convention has Event Staff who are here to help everyone have a good convention experience. Please give them the respect they deserve as they work in conjunction with Hotel Security. Midwinter Staff will be wearing Midwinter Logo Shirts and clearly labeled Staff Badges. They are most able to be found at Convention Registration (5th Floor Crystal Ballroom), or the Regency Ballroom (also 5th Floor).

Please use the stairs or escalators located off the lobby whenever possible to keep the main elevators clear for those who need to use them for mobility devices and accommodations. There is an additional set of elevators located behind the escalators on the first floor available for use as well.

Event Staff will cooperate with local law enforcement and guests are expected to follow all local laws and policies. Please note, while surrounding states have de-criminalized the use of marijuana on various levels, Wisconsin has not at this time.

Actual weapons are not allowed in the convention space at any time. All prop or replica weapons must be cleared by Event Staff. If you purchase a weapon from one of our exhibitors, the item must remain in your hotel room for the remainder of the convention.

Flyers are not to be distributed outside of the convention space, and are not to be posted on sleeping room doors, in any public restrooms, or handed out to convention guests while engaged in events. A table near registration will be available for flyers.

Hotel policy states that no outside food or beverage is allowed in the meeting rooms or convention space. Food and beverage purchased from anywhere inside the hotel is welcome.

Smoking is permitted outside in designated areas only, and includes both traditional cigarettes as well as vaping items. The Smoker’s Oasis is located just off of the hotel lobby. Please keep public areas clean by using appropriate receptacles to dispose of your cigarettes.

As a guest of Midwinter Gaming Convention, you allow photography to be taken of you by the event staff for future use in publication or advertising. If you DO NOT wish to have your photo taken, please see a member of the Midwinter Gaming Convention Registration Staff.

The Hilton is a pet friendly hotel, but in consideration of everyone's comfort we must limit the presence of our furry friends to certified service animals only in the convention spaces.

The Hilton is a large hotel and we are not the only guests present. Please be courteous to your fellow gamers and non-gamers alike. You never know when curiosity could blossom into a new hobby.
