1. Booth Fees Cover

2. Cancellations

Cancellation deadline: Friday, October 9, 2026. All cancellations must be submitted in writing by this date.


3. Setup & Breakdown

Breakdown and load-out will be permitted on Sunday afternoon after the close of the convention. For specific move-in and move-out times, see the Move In/Out Times page.

4. Terms & Conditions

These terms are set by Interstellar Entertainment, Inc. (hereafter "TravellerCon" or "TravellerCon/USA") to serve the best interests of the convention, exhibitors, and attendees.

TravellerCon holds full authority to interpret or amend these terms, and its decisions are final. All applicants, exhibitors, and exhibitor-appointed contractors are bound by these rules. Any terms adopted after the signing date are equally binding.

By signing the exhibit space application or contract, you acknowledge that you have read and agree to all policies, rules, payment terms, and any additional conditions issued by TravellerCon regarding the convention.


5. Space Assignment

All exhibit space is assigned solely by TravellerCon. While every effort will be made to accommodate requests, management reserves the right to revise the floor plan as needed. Such changes do not relieve the exhibitor of contracted obligations. Space assignment decisions are final and binding.


6. Care of Premises

Nothing may be posted, nailed, taped, or otherwise affixed to walls, doors, or floor surfaces in a way that marks or defaces the premises. The following are strictly prohibited on any vertical surface (including painted walls and portable walls):

Exhibitors are responsible for any damage caused to the facility.


7. Conduct

Professional behavior is expected from all exhibitors and their representatives at all times. This includes obeying all applicable laws, venue restrictions, and the TravellerCon Code of Conduct. Clothing must not display inappropriate content.

Important: Any physical or verbal provocation will result in all parties involved surrendering their badges immediately and being escorted off the premises. TravellerCon reserves the right to close any display or exhibit for inappropriate behavior, with all fees forfeited.

Booths are sold in 10 ft. × 10 ft. increments. The following rules apply regardless of total booth size:


9. Fees & Payments

Full payment for all booth and sponsorship fees must be received before space will be assigned. No exceptions.

TravellerCon retains sole authority to determine the eligibility of any company and/or its products.


10. Exhibitor Registration

Names of all participants affiliated with your exhibit must be submitted by Friday, October 9, 2026.


11. Logo Requirements

To ensure the highest quality logo placement in convention materials, please submit your logo by Friday, October 2, 2026.


12. Non-Smoking Policy

TravellerCon and the DoubleTree Resort by Hilton Lancaster strictly prohibit the use of all tobacco products — including e-cigarettes and vaping — in all areas of the hotel, including during installation and dismantling, and in all meeting rooms hosting convention events.

Exhibitors are responsible for ensuring all members of their team comply with this policy.


13. Prohibited Practices

The following are prohibited in the exhibit hall:

Damage resulting from equipment movement, two-sided tape, nailing, or other event-related activities will be charged to the responsible party.


14. Tax Compliance

Exhibitors that sell taxable goods or services on-site are responsible for researching and complying with all applicable Pennsylvania state tax requirements. Please consult the Pennsylvania Department of Revenue for guidance.


15. Show Cancellation Policy

Should TravellerCon cancel the show, our liability is limited to a refund of booth space payments received. TravellerCon is not liable for any consequential damages arising from cancellation.

If cancellation is due to circumstances beyond TravellerCon's control — including acts of God, acts of war, governmental emergency, labor strike, or destruction of the exhibit facility — each exhibitor's space payment will be refunded less a pro-rata share of costs and expenses already incurred.


16. Storage

All sales literature, catalogs, and reserve supplies must be stored on or under the tables provided within your booth. The following may not be stored behind booth back walls:
