Exhibitor Terms

This AGREEMENT shall commence at the time that "I agree" is selected during Exhibitor application submission and will be made by and between Galveston Gaming Expo DBA as The PeliCON (hereinafter referred to as “Event Sponsor”) and the organization completing the application (hereafter referred to as “Vendor”).

Section 1. Terms.

This Agreement shall commence on the above date and shall terminate, unless earlier terminated as authorized by Section 4, below, on February 10, 2025.

Section 2. Event Sponsor Duties.

The Event Sponsor will be responsible for providing a space at the Galveston Convention Center in the main exhibit hall featuring tables and chairs as determined by booth type purchased by the Vendor following approval of the Exhibitor application.

Load in day for the Vendor will be on Thursday, 6 February 2025, from 4-10pm.

The event will be held from 7 - 9 February 2025 with the following hours:

• 7 February: Vendor access 9a-11p; Attendee access and Vendor exhibit times 5p-11p

• 8 February: Vendor access 9a-11p; Attendee access and Vendor exhibit times 10a-11p

• 9 February: Vendor access 9a-9p; Attendee access and Vendor exhibit times 10a-5p; Tear down commences at 5pm-9pm on February 9th if the Vendor requires.

Event reminders will be emailed to your contact of choice 8 weeks, 4 weeks, 2 weeks prior to and the week of the event.

The Event Sponsor will feature an active link on the website www.thepelicon.com (hosted by TableTop.Events) to the Vendors place of business.

The Event Sponsor will provide weekend passes for staff of the Vendor determined by the type of booth purchased following approval of the Exhibitor application. From two (2) to four (4) additional passes (determined by the type of booth purchased following approval of the Exhibitor application) can be purchased at the time of contract signature for the discounted price of $40.00 each.

Vendor will receive a half page color ad space in the PeliCON Event magazine free of charge. This half page is upgradable to a full page for $75.00 payable at the time of contract signature.

Event Security will be at the event for the entirety of the event while it is open and the doors are unlocked.

Event Sponsor will agree to a list of preferred games to be run by the Vendor in which the Vendor will receive the ticket fees minus the credit card surcharges and fees not to exceed 10%.

Event Sponsor will NOT be entitled to any sales nor percentage of any sales made by the Vendor for any goods during the Event.

Vendor to Provide:

High Res Logo for the website to be included in the Sponsors and Vendors section as soon as possible. Suggested size is 2000 x 2000 pixels for print/electronic dissemination.

Fees shall be paid in accordance with the Event Sponsor under the following agreement. The Vendor agrees to a cost for the event space (as determined by the size and type of booth purchased after Exhibitor application is approved) which is not due until 1 December 2024.

• This cost will be discounted 2.5% for every multiday pass that is purchased by an attendee who uses the vendor code provided to the Vendor upon approval of the Vendor exhibitor application. This code may be used and shall remain active up until 31 November 2024. After forty (40) attendees have signed up using the Vendor's unique assigned discount code the Vendor's booth space cost will be completely discounted. No further discount or refund/payment will be remitted to Vendor for any codes redeemed above forty (40). This discount does not apply to additional private room purchases, additional advertising space or additional tickets.

Artwork for ad placement in the Event magazine needs to be submitted by 21 June 2024.

PeliCON does not require a commission or percentage of Vendor sales at the event.

Any promotional hand out items that the Vendor would like to have handed out to attendees needs to be submitted by 7 January 2025.

Section 3.

Except as specifically provided in this Agreement, all additional expenses shall be borne by Vendor. The Event Sponsor will not be providing accommodations nor travel reimbursement.

Section 4. Termination.

Either party may terminate this Agreement with sixty (60) days prior written notice to the other party. Vendor hereby acknowledges and agrees that, notwithstanding anything to the contrary contained in this Agreement, in the event of such termination, Event Sponsor shall only retain payment of the portion of the fee earned as a result of Work actually and satisfactorily performed.

• If Vendor terminates the Agreement after paying for a space at the convention, i.e. a booth, the Event Sponsor is only required to refund to Vendor the amount actually paid. This does not include any "reduction" that was received by coupon code redemptions only the actual payment remitted to Event Sponsor.
