Exhibitor Terms

This AGREEMENT shall commence at the time that "I agree" is selected during Exhibitor application submission and will be made by and between Galveston Gaming Expo DBA as The PeliCON (hereinafter referred to as “Event Sponsor”) and the organization completing the application (hereafter referred to as “Vendor”).

Section 1. Terms.

This Agreement shall commence on the above date and shall terminate, unless earlier terminated as authorized by Section 4, below, on May 17th, 2026.

Section 2. Event Sponsor Duties.

The Event Sponsor will be responsible for providing a space at the Texas City Convention Center in the main exhibit hall featuring tables and chairs as determined by booth type purchased by the Vendor following approval of the Exhibitor application.

Load in day for the Vendor will be on Friday, 15 May 2026, from 8 am-11:45 am.

The event will be held from 15 - 17 May 2026 with the following hours:

Event reminders will be emailed to your contact of choice 8 weeks, 4 weeks, 2 weeks prior to and the week of the event.

The Event Sponsor will feature an active link on the website www.thepelicon.com (hosted by TableTop.Events) to the Vendors place of business.

The Event Sponsor will provide weekend passes for staff of the Vendor determined by the type of booth purchased following approval of the Exhibitor application. From two (2) to four (4) additional passes (determined by the type of booth purchased following approval of the Exhibitor application) can be purchased at the time of contract signature for the discounted price of $20.00 each.

Vendor will receive a half page color ad space in the PeliCON Event magazine free of charge. This half page is upgradable to a full page for $75.00 payable at the time of contract signature.

Event Security will be at the event for the entirety of the event while it is open and the doors are unlocked.

Event Sponsor will agree to a list of preferred games to be run by the Vendor in which the Vendor will receive the ticket fees minus the credit card surcharges and fees not to exceed 10%.

Event Sponsor will NOT be entitled to any sales nor percentage of any sales made by the Vendor for any goods during the Event.

Vendor to Provide:

High Res Logo for the website to be included in the Sponsors and Vendors section as soon as possible. Suggested size is 2000 x 2000 pixels for print/electronic dissemination.

Fee Structure:

Fees shall be paid in accordance with the Event Sponsor under the following agreement. The Vendor agrees to a cost for the event space which is not due until 1 December 2026.

Vendor booths do not become "selectable" until such time as the Vendor pays booth fee(s) in full. This means that if you take full advantage of the vendor code discount, you have to wait until December 2025 to choose your booth. If you pay immediately, you may choose your booth at the time of payment. If you pay at the time that your vendor application is accepted you WILL be refunded for any usage of your coupon code during true-up on 1 December 2025. Artwork for ad placement in the Event magazine needs to be submitted by 1 December 2026.

Vendors will be invoiced prior to the 1 December 2026 deadline to pay any outstanding costs for their exhibitor booths.

PeliCON does not require a commission or percentage of Vendor sales at the event.

Any promotional hand out items that the Vendor would like to have handed out to attendees needs to be submitted by 1 April 2026.

Section 3.

Except as specifically provided in this Agreement, all additional expenses shall be borne by Vendor. The Event Sponsor will not be providing accommodations nor travel reimbursement.

Section 4. Termination.

Either party may terminate this Agreement with sixty (60) days prior written notice to the other party. Vendor hereby acknowledges and agrees that, notwithstanding anything to the contrary contained in this Agreement, in the event of such termination, Event Sponsor shall only retain payment of the portion of the fee earned as a result of Work actually and satisfactorily performed.
