RiVirCon Policies

Attendance at RiVirCon constitutes agreement to the following policies. These guidelines are in place to ensure a safe, respectful, and enjoyable experience for all attendees.

RiVirCon Code of Conduct

RiVirCon is committed to providing a safe, respectful, and inclusive experience for everyone, regardless of gender, age, sexual orientation, disability, physical appearance, body size, race, or religion. Harassment of any kind will not be tolerated.

Expected Behavior

• Be respectful to others at all times
• Respect differing opinions, beliefs, and backgrounds
• Follow all staff instructions

Prohibited Behavior

• Harassment, intimidation, or discrimination
• Unwelcome physical contact or sexual attention
• Offensive comments or imagery
• Disruptive or dangerous behavior
• Deliberate intimidation or stalking

Reporting

If you experience or witness inappropriate behavior, report it immediately to a staff member or at the Registration Desk. Reports will be handled respectfully and, when possible, confidentially.

Consequences

Violations may result in:

• Verbal warnings
• Removal from specific areas or activities
• Expulsion from the convention without refund
• Ban from future RiVirCon events

RiVirCon staff and organizers reserve the right to interpret and enforce these policies at their discretion to maintain a safe and welcoming environment.

Table Use and Game Parking

Table space at RiVirCon is limited and intended for active gameplay only.

• Please do not use tables to park games, store personal belongings, or reserve space for extended periods.
• Items left unattended may be moved to free up space for others.
• If you need temporary storage for games or bags, please speak to the Registration Desk or consider keeping items in your vehicle.

Personal Belongings and Lost Items

RiVirCon and its organizers are not responsible for lost, stolen, or unattended personal items, including games, bags, phones, or other property.

• Keep your belongings with you at all times.
• Avoid leaving valuables unattended.
• A Lost and Found is available at the Registration Desk for items turned in by fellow attendees.

Shared Space Etiquette and Hygiene

We kindly ask all attendees to help maintain a clean and comfortable environment for everyone.

This includes:

• Disposing of trash and food containers promptly
• Avoiding leaving food remnants, wrappers, or spills on shared tables
• Wiping tables clean if needed before leaving
• Being mindful of personal hygiene, as players often sit in close proximity for extended periods

If you anticipate a long day of gaming, consider packing hygiene essentials, staying hydrated, and taking breaks as needed. These small efforts help create a positive experience for everyone.

Use of Photography

By attending RiVirCon, you consent to being photographed or recorded during the event.

Consent by Attendance

Implied consent applies to photographs and video taken during the event. These materials may be used for promotional purposes, including but not limited to social media, websites, and marketing materials.

RiVirCon Official Photography

RiVirCon may have official photographers and videographers documenting the event. If you do not wish to have your image used in promotional materials, you must notify staff at the Registration Desk upon arrival.

Press and Media

Press and media attendees may take photos and videos but must respect designated no-photo zones and comply with all convention policies.

Prohibited Use

Photography and video recording are strictly prohibited in designated areas such as restrooms or marked no-photography zones. Use of photography or recording for harassment or inappropriate purposes is strictly prohibited.

Commercial Use

Images or video footage captured at RiVirCon may not be used for commercial purposes without prior written consent from RiVirCon management.

Social Media Sharing

Attendees are welcome to share their experiences on social media. By posting content from the event, you grant RiVirCon permission to share or repost that content for promotional purposes.

Violation of Policy

Failure to comply with the Photography and Media Policy may result in removal from the convention without refund.

This policy is provided in accordance with U.S. laws regarding public event photography and videography, including privacy laws as applicable in the Commonwealth of Virginia.

RiVirCon reserves the right to modify, interpret, or update these policies at any time.
