Show and Vendor Hours:
Friday show hours – 10:00am until 11:00pm, vendor hours - 12:00pm until 7:00pm Saturday show hours -9:00am until 11:00pm, vendor hours -9:00am until 7:00pm Sunday show hours -9:00am until 5:00pm, vendor hours -9:00am until 3:00pm
Exhibitor hour requirements:
The vendor area opens to the public at 10:00am Friday. However, we understand that some exhibitors cannot arrive until Saturday. We ask that vendors be ready for business no later than 9:00am Saturday morning, and that they do not break down their space until after 1:00pm on Sunday. The attendees look forward to seeing and purchasing your product; failing to participate in show hours on Saturday and Sunday, including early break down, will result in being removed from our returning vendor list.
Set Up:
Exhibitors can begin set up as early as Thursday after 6:00pm. We will also have access for Vendor set up on Friday and Saturday beginning at 8:00am. For those exhibitors arriving Saturday morning, access to the hall will begin at 8:00am with a 9:00am opening to the public. Exhibitor’s intended arrival must be listed on your application.
After Hours:
To maximize your exposure, the Exhibitor area is also our largest gaming hall. With this in mind we request you bring sheets to cover your product and space when closed. You can notify the CincyCon staff that you are closing and we will add additional barricade tape in front of your booth to make it clear you are closed for the night. The Exhibitor hall will be locked and closed to the public from 11:00pm until 9:00am each morning.
Exhibitor Space:
Exhibitor space is limited. To ensure fairness to all, we limit exhibitors to a maximum of four spaces. CincyCon will be accepting exhibitor reservations on a first received, first reserved basis. Exhibitor reservations must include the completed application and full payment. Any space requested and not allocated will receive a full refund for the unissued space. There are a maximum of 65 spaces available in the hall, any reservations submitted after that number has been reached will be placed on a standby list.
Exhibitor space for CincyCon is provided in 6’x30" table space increments with an additional 3’6" behind your table for operating room. Payment for each 6’ table space is $80.00, Booth Electrical Service is an additional $10.00. As we receive applications and payments, your company information will be added as an exhibitor on our website. You may also consider becoming a CincyCon sponsor. Look for a separate mailing on CincyCon sponsorship.
Exhibitors who exceed the allowable space will be requested to conform to the space requirements. Failure to conform to this space may result in you being asked to remove merchandise to accommodate aisle ways or other exhibitors.
Acceptable Product:
CincyCon is family friendly. Display of pornographic or otherwise inappropriate product is prohibited. Please err on the side of caution when making the choice to display questionable product. Sale of any such material may be restricted by the CincyCon staff.
Demonstration Game Tables:
When possible, CincyCon will make demo game table space available on request. This space is not to be utilized to display additional product. Demo space is allocated for attendees to play those games that are available for sale, or exhibited in your booth. Games must be registered through the GM portal available on the CincyCon website, and “Demo Table” should be listed the notes section of the event registration.
Show Cancellations and Date Changes:
Due to agreements between CincyCon and the Butler County Fairgrounds, under no circumstances will the show dates be moved or cancelled. This includes any “Acts of God” such as inclement weather.
We will remain open and ready for your gaming entertainment. With this in mind, no refunds will be issued for preregistered attendees, or exhibitors due to “Acts of God” such as inclement weather.
Refund Policy:
You may request a refund in full up to 60 days from the show date. After that time, your space costs maybe deferred to the following year’s convention dates prior to 30 days before the show. No refunds will be issued less than 30 days prior to show date.
