Hotel Policies

While BGG Events uses the Hyatt hotel system for our events, policies may vary between individual hotels - please review the policies carefully. Also, note that BGG Events may have additional policies in place related to our use of the meeting spaces.

Outside Food and Alcoholic Beverages

• The hotel requests that no outside food be brought into the meeting spaces. Specifically outside coolers, lunch boxes, crockpots, etc. are not permitted.
• Per the laws of the State of Texas NO ALCOHOLIC BEVERAGES ARE PERMITTED in the convention meeting spaces unless they have been purchased directly from the hotel. BGG Events Staff and Hotel Management reserve the right to remove the alcoholic beverages and/or the individual(s) from the meeting spaces.

Smoking/Vaping

• No Smoking/Vaping allowed inside the Hotel (per City of Dallas ordinances and Hotel placards).

Animals

• Hyatt Regency DFW Airport

This hotel does not normally allow pets, with the exception of ADA-assisting service animals. However, due to the needs of our traveling guests we will allow one small pet, provided the following rules are adhered to at all times:

• Animals must be in crate/cage at all times while in the room
• Guests with animals should not linger in the hotel lobby
• Housekeeper must have access to the room at all times
• Animals must be quiet, as noise can be disruptive toward other guests
• Any damage to sleeping room or hotel will be charged to the credit card on file
• Please note if the hotel receives any complaints from guests or employees regarding the animal, the hotel reserves the right to act in its own interests and guest may be asked to relocate the animal from the premises.
• Upon leaving the hotel, those rooms in which the mentioned animal has stayed in, must be fumigated, and shampooed. Guest agrees to provide a $75.00 non-refundable deposit, per room, for these cleaning charges.
• Should the pet owner not agree to the preceding terms, Hyatt Regency DFW has the right to relinquish the guestrooms reserved for the owner.

In addition to hotel policies, BGG Events policy is to not allow animals in any meeting space of the convention (with the exception of registered service animals). This includes the Exhibit Hall, Library and all other events spaces.

Firearms

• Hyatt Regency DFW Airport

The safety and security of our guests and associates is of utmost importance to Hyatt. This policy is designed for the protection of our guests and associates, and pertains to the presence of firearms on hotel premises.

Hyatt recognizes that guests or visitors may legally possess firearms for a variety of legitimate purposes. This policy is intended to create a safe environment for all guests and visitors by providing appropriate guidance over the custody of firearms on our premises.

Hotel premises are private property. Guests or visitors of a Hyatt hotel who lawfully are permitted to possess a firearm, may bring such firearm onto hotel premises for storage purposes only. Any guest or visitor who is in possession of a firearm on hotel premises is personally responsible for abiding by all applicable federal, state and local laws with respect to firearms, in the jurisdiction where the hotel is located and ensuring that the firearm is:

• unloaded;
• secured in a locked, hard-sided firearm container provided by the guest; and
• securely safeguarded at all times in a guest room (or personal vehicle), except when transporting the firearm into or out of the hotel.

Guests who fail to abide by this policy may be asked to leave the hotel premises. A blanket exception to the restrictions described in this policy statement applies only to law enforcement officers and designated military personnel, who are on-duty and required to carry firearms in the performance of their duties. No exemption to this policy is allowed for private persons, even those licensed and permitted to carry a firearm, and/or where applicable, to conceal-carry a firearm.
