Pikes Peak Gamers LLC's 2025 Manitou Springs Board Game Convention - Terms of Service Agreement
1. Introduction
Welcome to Pikes Peak Gamers LLC's ("PPG") 2025 Manitou Springs Board Game Convention ("the Convention") held in Manitou Springs, CO, from April 4th to April 6th, 2025. By attending or participating in the Convention, you agree to comply with and be bound by the following Terms of Service Agreement ("Agreement"). This Agreement constitutes a legal contract between you ("Attendee") and the organizers of the Convention ("Organizers").
2. Registration and Attendance
- All Attendees must complete the registration process and pay any applicable fees before attending the Convention.
- Attendees must wear their provided badges at all times while within the Convention premises.
- The Organizers reserve the right to refuse entry or remove any Attendee for violations of this Agreement or any other Convention rules and regulations.
- Minimum Age Requirement:
- The minimum age for Attendees is 13 years of age.
- All minors, aged 17 and under, must have an attending Parent or Guardian on the premises at all times. Both the minor and the Parent or Guardian must have a valid badge.
- Badge Availability:
- Badges are sold on a limited first-come, first-served basis.
- Refunds and Transfers:
- Attendees can receive refunds through March 23rd, 2025. All refunds will be processed by Table Top Events.
- No refunds will be made onsite.
- Badges are transferable through Table Top Events.
- Lost badges will only be replaced with a valid photo ID and a copy of your Table Top Events registration confirmation.
- PPG assumes no responsibility for lost, stolen, or forgotten materials.
3. Code of Conduct
We strive to create a safe, enjoyable, and harassment-free Convention experience for all participants and workers, regardless of their gender, sexual orientation, disability, physical appearance, body size, race, religion, or affiliation. By attending the Convention, you acknowledge that disruptive behavior, inappropriate and unlawful conduct, and harassment in any form will not be tolerated. You agree to conduct yourself, and any minors under your supervision, in a safe, responsible, non-disruptive, and lawful manner while attending the Convention. Violation of Convention policies, as determined by PPG in its sole discretion, may result in your expulsion from the Convention without refund.
If you need to report an issue, you may do so by speaking with one of the Convention staff members. Please ensure that it is a PPG staff member and not a volunteer.
4. Liability and Indemnification
- The Organizers will not be held responsible for any personal injury, property damage, theft, or loss of any kind that may occur during the Convention.
- Attendees participate in the Convention at their own risk and are responsible for their own safety and well-being.
- By attending the Convention, Attendees agree to indemnify and hold harmless the Organizers, their affiliates, partners, sponsors, and volunteers from and against any and all claims, liabilities, damages, losses, expenses, and costs (including reasonable attorney fees) arising out of or related to Attendee's participation in the Convention.
5. Health and Safety
- Attendees must adhere to all health and safety guidelines as provided by the Organizers, including any measures related to COVID-19 or other public health concerns.
- The Organizers reserve the right to implement health screenings, require the use of personal protective equipment, and enforce social distancing protocols as necessary.
6. Intellectual Property
- All materials provided by the Organizers, including but not limited to promotional materials, logos, and content, are the intellectual property of the Organizers or their respective owners.
- Attendees may not use, reproduce, or distribute any intellectual property without prior written consent from the Organizers.
7. Photography and Recording
- The Convention may be recorded or photographed for promotional and archival purposes.
- By attending the Convention, Attendees consent to being photographed or recorded and grant the Organizers the right to use such media for any legitimate purpose without compensation.
8. Changes and Cancellations
- The Organizers reserve the right to make changes to the Convention schedule, programming, and policies at any time.
- In the event of a cancellation or postponement of the Convention, the Organizers will provide timely notifications and may offer refunds or credits as deemed appropriate.
9. Personal Data Protection
- The Organizers are committed to protecting the privacy and personal data of all Attendees.
- Personal data collected during the registration process will be used solely for the purpose of organizing and managing the Convention.
- Personal data will never be sold to third parties, and will only be shared with partners or service providers as necessary for the operation of the Convention in compliance with applicable data protection laws.
10. Governing Law
- This Agreement shall be governed by and construed in accordance with the laws of the State of Colorado.
- Any disputes arising out of or related to this Agreement shall be resolved in the courts located in El Paso County, Colorado.
11. Food and Drinks
- Food and non-alcoholic drinks may be brought onsite during the Convention.
12. Acceptance of Terms
By registering for and attending Pikes Peak Gamers LLC's 2025 Manitou Springs Board Game Convention, you acknowledge that you have read, understood, and agree to be bound by this Agreement.
