EXHIBITORS

We offer artisan booths located in the lobby and the main hall, single and double booths available inside the main hall and outside the main RPG area, and a few popup tables available in the Coltrane lobby on Saturday during the CATAN tournament.

Artisan Booth (Savoy Ballroom): $30
10'x10' space located inside the Main Gaming Hall. Includes:

  • one (1) 6'x30" table
  • Two (2) chairs
  • Two (2) Artisan badges
  • This booth does not have access to electricity.

Artisan Booth (Savoy Lobby): $30
8'x10' space located in the Savoy lobby outside the Main Gaming Hall. Includes:

  • One (1) 6'x30" table
  • Two (2) chairs
  • Two (2) Artisan badges
  • Access to electricity
  • These booths are not secured at night.
  • Secure overnight storage is available for items & inventory if desired

Single Booth (Savoy Ballroom): $80
10'x10' space inside the Savoy Ballroom. Includes:

  • One (1) 6'x30" table
  • Two (2) chairs
  • Two (2) Exhibitor badges
  • Access to electricity

Single Booth (RPG Rooms): $40
10'x10' space outside the RPG Rooms, Shaw & Getz. Includes:

  • Two (2) 6'x30" table
  • Two (2) chairs
  • Two (2) Exhibitor badges
  • Access to electricity
  • These booths are not secured at night.
  • Secure overnight storage is available for items & inventory if desired

Double Booth: $160
20'x10' space located inside the Savoy Ballroom. Includes:

  • Two (2) 6'x30" table
  • Three (3) chairs
  • Up to three (3) Exhibitor badges
  • Access to electricity

Saturday Pop-up Booth: $20
10'x10' space located inside the Shaw Getz Lobby, outside Coltrane. Includes:

  • One (1) 6'x30" table
  • One (1) chairs
  • One (1) Artisan badge
  • Access to electricity (You may need an extension cable)

Extra tables and chairs are free and can be added however there is no guarantee the hotel will have additional supplies. Adding additional items when purchasing your booth allows us to coordinate with the hotel as early as possible.

Once your application is submitted it will go to review for approval.

Once approved you will receive an email notification with links to purchase a booth and/or sponsorship. Purchase access can also be found by returning to this page.

You must purchase a booth to guarantee your space.


Polar Vortex currently has no policy regarding MSRP stores and we have no issue with vendors discounting. While we do require vendors follow manufacturer's M.A.P. policies, we ask vendors not to undercut other vendors discounts.


SPONSORSHIP

Each level of sponsorship offers several marketing vehicles to help promote your business and showcase your support to our attendees in making Polar Vortex 2024 possible.

Sponsorships may be in the form of financial support, product support, or a combination of both for our YETI, TUNDRA GIANT, and FROST DRAGON levels.

All sponsorships include the following:

  • your logo featured on all sponsor lists—both print and digital
  • your logo—or other visual marketing material—to showcase your company’s sponsorship of a table(s) within a section of the convention most ideal for your business.

Our top two levels also include your logo—or other visual marketing material—on a large banner recognizing you as a major Polar Vortex sponsor displayed prominently at the entrance to the main hall.

The sections available for table sponsorships are:

  • Board and Card Games:
    each table seats 4 to 6 players. There are 28 tables in this section.
  • Tabletop Miniatures Games:
    each table accommodates 2 to 4 players each. There are 24 tables in this section.
  • Tabletop RPGs:
    each table seats 4 to 8 players. There are 18 tables in this section.

Product support can be designated for the following use:

  • Charity Auction supporting the American Cancer Society
  • Board Game Library.
  • Play-and-Win.
  • Paint-and-Take.
  • Event Prize Support.
  • Allow convention organizers to determine the best placement for your brand.
