Nerdarchy the Convention

RULES AND REGULATIONS


The Greater Philadelphia Expo Center shall not be used for sleeping or lodging purposes or, except for authorized concessions, be used for cooking without Nerdarchy Con Inc.'s prior, express, written consent.

Attendees shall promptly and courteously comply with the directions of any security personnel employed or used by staff or local authorities.

No advertisements, signs, handbills or other visual media devices shall be placed outside of, or attached to, the exterior or interior of the Greater Philadelphia Expo Center without Nerdarchy the Convention’s prior express written consent. No handbill or the like shall be placed on the windshields of any cars, wherever located within the Greater Philadelphia Expo Center, before, during or after Nerdarchy the Convention. No handbills or other promotional material shall be distributed in areas other than the exhibitor area, without the consent of Nerdarchy the Convention.

Admission of attendees to Nerdarchy the Convention shall only be allowed through designated entrances and corridors.

Attendees shall not obstruct or interfere with other tenants, occupants and users or visitors to the Greater Philadelphia Expo Center wherein the wherein Nerdarchy the Convention is located.

Gambling is prohibited.

Outside charitable and other organizations, solicitations and collections are prohibited without the expressed and written permission of Nerdarchy the Convention.

Parking is permitted only in designated on site parking areas.

Vehicles are not allowed on the premises overnight without written consent of the Greater Philadelphia Expo Center.

Smoking is not permitted inside of Nerdarchy the Convention. Nerdarchy the Convention has the right to take whatever action is necessary to preserve a smoke free environment.

No explosives, fuel, combustibles, hazardous materials or wastes, decorative materials not fireproof or flameproof, or any other materials or substances deemed hazardous by any applicable governmental authority or Nerdarchy the Convention may be brought into the Greater Philadelphia Expo Center.

Helium or other lighter-than-air inflated balloons are not permitted inside the Greater Philadelphia Expo Center, without express written consent of Nerdarchy the Convention. Removal of balloons in the Greater Philadelphia Expo Center will be billed to the offending party at the rate of $50.00 per hour.

Any articles of the attendees remaining past November 1st, 2020 may be considered abandoned and may be disposed of.

Any residual matters not expressly covered by attendees or Rules and Regulations shall be determined by Nerdarchy the Convention at its discretion.

Alcoholic beverages may not be brought or consumed in the facility, unless purchased at an on site concession stand or lounge. Beverages must be removed from the facility or will be subject to confiscation.

Any of the following will be grounds for expulsion from Nerdarchy the Convention without refund:


Purchases and Refunds

All purchases of Nerdarchy the Convention merchandise, including badges and event tickets, are final. No refunds are issued for any reason.


Event Cancellations

If an event has been cancelled, please see the Registration Desk for further instructions. If there was an event fee there may be a refund, however the vast majority of events are at no charge. We will help identify available alternatives for you using the event listing on tabletop.events.


Lost or Misplaced Badges and Event Tickets

We cannot replace lost, stolen, or forgotten badges or event tickets. Such items must be repurchased at full cost. We recommend that you check with the Nerdarchy the Convention Registration Desk to see if your materials have been turned in to Lost & Found. Nerdarchy the Convention assumes no responsibility for lost, stolen, or forgotten materials.


Waiver of Liability

The purchase of a Nerdarchy the Convention badge admits one person to all basic activities and exhibits at Nerdarchy the Convention during regularly scheduled hours for the day or days specified on the badge. Some designated activities may require payment of a separate, additional fee. By accepting a badge and in consideration for being admitted to Nerdarchy the Convention, the holder consents to being recorded (by audio and/or visual means) for exhibition and exploitation by any means in all media, including without limitation the internet, worldwide in perpetuity. The badge holder releases Nerdarchy the Convention from any liability for loss or damage to persons or property, infringement of any right, or any other claim or course of action of any kind; authorizes and permits Nerdarchy the Convention and its designees, which includes but is not limited to all sponsors, exhibitors, and contractors, to use and authorize the use of his or her name, voice, likeness, and all reproductions thereof by any means and in all media now and hereafter known, including without limitation the internet, for all purposes worldwide in perpetuity; and agrees to comply with all the rules and regulations of the convention. Nerdarchy the Convention reserves the right to deny entry or remove from the convention facilities any person who in its sole and absolute discretion is behaving or threatening to behave in a manner which it reasonably considers to be disruptive.


GM “No Show” Policy

We understand sometimes unforeseen events cause a Game Master to miss their game and deeply appreciate the hundreds of skilled GMs that run events for everyone’s enjoyment. We want to encourage timely communication and dissuade people from “no showing” the people that signed up to play in their events. If you as a GM realize you have an issue that will prevent you from running an event as scheduled, please contact us immediately. Nerdarchy the Convention expects every GM to contact the staff and inform us of a cancellation as soon as they know they will miss or cancel the event. For issues prior to the first day of Nerdarchy the Convention, please use, at a minimum, convention@nerdarchy.com to inform us of the issue. Once Nerdarchy the Convention has commenced please report the issues to the personnel at convention headquarters in person. Any GM who, without proper notification, fails to show up for and run 2 or more of their scheduled events may have their current badge revoked and be banned from attending Nerdarchy the Convention in any capacity for a period of no less than one year. The length of the ban will be determined solely by the Nerdarchy the Convention management. We are compassionate human beings and will consider extenuating circumstances presented to us before enforcing a revocation or ban.
