A space is not guaranteed for you until you are paid in full. No particular space is ever guaranteed, though we will take any requests into consideration. Booth fees are refundable until 30 days prior to the event. After that time, there is a 50% cancellation fee until 7 days prior to the event. Within 7 days of the event, the cancellation fee is 100%. MSC reserves the right to move any vendor or display for the good & welfare of the event with no recompense required.
You will receive use of the booth space based on your booth selection. 6’ tables with tablecloth can be provided with a maximum of 3 tables for Dealers Room and 2 tables for Artist Alley. 2 chairs will be provided for per space.
You may bring your own tables and displays but it must fit into your allotted space. The maximum height for any display is 8’. You MAY NOT go out past the table line into the aisle space. The aisle space must be left open for the safety of our guests. You MAY NOT encroach on the space of the vendors around you. Nothing may be affixed by vendors to any part of the structure or furnishings.
Music, sound effects, etc in your booth must be pre-approved. You may use lighting and digital effects without prior approval as long as they do not disturb the vendors around you. Access to electricity is limited to the booths along the walls and those in the row with the columns, so choose your booth space accordingly if you need electricity.
The Dealers Room will be closed and locked during off hours. No one will be allowed in during closed hours. All needed items and valuables must be taken with you before the room closes each evening. Vendors will be allowed into the room 1 hour before opening and may stay up to one hour after closing. Vendors in Artists Alley do not have set hours except for the set up and tear down times. You are responsible for securing your own items when you are not present. Artist Alley booths will not be secured or patrolled.
Vendors in the Dealers Room must show up and claim their space at least 60 minutes before the stated opening of the Dealers Room to the public on the first day of the convention. Failure to do so give MSC the right to use said unoccupied space as it wishes, including renting said space to another vendor without refund to the defaulting vendor. Vendors in Artist Alley need to advise the department head as to when they will be setting up.
Vendors in the Dealers Room must have their space open for business during all the public hours of the Dealers Room. Vendors may not begin dismantling or packing up their space until the official closing time of the Dealers Room at 4pm on Sunday. Failure to abide by these rules will result in being banned from future events. Vendors in Artist Alley may set their own sales hours.
It is preferred that children under the age of 12 not be present during set up and tear down, this is for the safety of everyone. If you must have them with you, you are solely responsible for keeping them safe and out of the way of other vendors. MSC takes no responsibility for the safety of unsupervised children.
Vendors agree to be solely responsible for the safety and integrity of their displays and items. MidSouthCon and Mid-South Science and Fiction Conventions, Inc., shall not be held liable for any injury or damage caused by a vendors display or items.
For both Dealers Room and Artists Alley, 1 vendor badge shall be provided for each accepted application. Additional badges are available to purchase at a discounted rate. For 2025 that rate is $40 for adult badges and $20 for children’s badges. The maximum number of discounted badges per vendor is 3. Discounted badges must be requested in advance. Additional badges requested after March 1st 2025 will have added cost. Only properly badged individuals will be allowed in the Dealers Room during setup and tear down times.
The sale of all goods is limited to the items listed on your application. You may not share or sublet your booth space without prior approval.
Any Rated R content should be censored while it is on display at your booth. In Artists Alley, more risqué items may be displayed between 10pm and 6am.
Sales of any goods outside of your allotted space is prohibited. This includes the hallways, meeting rooms, lobby, parking lots, etc.
MSC Dealers Room staff reserves the right to require the alteration or removal of any item or activity in the vendor areas that is deemed objectionable for any reason it sees fit.
MidSouthCon and Mid-South Science and Fiction Conventions, Inc., shall not be held liable for loss or damage of any item.
Vendors are solely responsible for any applicable city, state, or federal taxes on sales during the event.
Vendors agree to comply with all city, county, state, and federal laws, ordinances, rules, and requirements while acting as a vendor at the event. Vendors agree to follow all instructions given by police, fire department and any other first responder as well as the event staff in the event of an emergency of any kind.
Vendors agree to treat each other and all attendees & staff of MidSouthCon with respect and decorum. MidSouthCon is an inclusive environment and all are welcome. You have the right to believe, think and feel any way you wish; however, you will keep any negative opinions or comments about people to yourself.
