1. Cancellation Policy. AKRPGCon does not offer refunds for any cancellation. Upon request, badges and booth space may be held for a subsequent year.
2. Display Material. All publicly displayed materials at both tables and booths must be appropriate for a general audience and comply with all applicable laws. AKRPGCon reserves the right to request the removal of offensive, infringing, or unsafe materials.
3. Limitation of Liability. AKRPGCon is not liable for injury, loss, or damage incurred by exhibitors, their personnel, or merchandise, whether from fire, theft, accident, or any other cause.
4. Damage to Property. Convention guests are financially responsible for any damage they cause to venue property or rental materials.
5. Language and Profanity. Language used in signage, merchandise, and personal conduct must be appropriate for the general audience. Repeated violations may result in removal and forfeiture of refund.
6. Firearms. No real or functional firearms are permitted. Replica weapons must be peace-bound and comply with venue safety rules.
7. Photography. AKRPGCon reserves the right to photograph the event, guests, and vendor areas for documentation and promotion. Photography of booths, merchandise, staff, or other guests by third parties requires consent of the parties involved.
8. Resolution of Disputes. Disputes will be resolved first through informal discussion. If unresolved, organizers retain the right to issue binding decisions for the event’s interest.
9. Amendment to Rules. AKRPGCon reserves the right to amend these Terms & Conditions.
10. License Acceptance. By purchasing an event badge and/or booth space, the guest agrees to abide by these Terms & Conditions in full.
1. Default. If an exhibitor fails to occupy or vacates their assigned booth space without prior notice, AKRPGCon reserves the right to reassign or repurpose the space without obligation to refund or compensate.
2. Sub-licensing / Booth Usage. Booth spaces may not be shared, transferred, or sublet without prior written consent.
3. Booth Representatives. Each vendor is individually responsible for providing a representative for their booth during convention hours. Representatives are expected to wear provided identification badges. AKRPGCon is not responsible for any unmanned booth.
4. Electrical Safety. All electrical connections and equipment must comply with venue and local safety standards. No daisy chaining of extension cords is permitted.
5. Safety, Lighting, and Fire Laws. Decorations and materials must be flame-retardant. Aisles and emergency exits must remain clear.
6. Permits and Sales Tax. Exhibitors are responsible for obtaining all necessary permits and paying applicable sales taxes.
7. Performance of Music and Sound Regulations. Public performance of copyrighted music requires proper licensing. All sound must be kept at reasonable volume levels.
8. Care and Removal of Exhibits. Exhibitors must remove all materials and trash by the designated teardown time. Abandoned items may be disposed of without reimbursement, and may be subject to an additional fee at future convention dates.
9. Insurance. Vendors are encouraged to carry liability insurance. The convention is not responsible for any uninsured losses.
10. Usage of the Space. Booth layout must comply with fire code and not obstruct foot traffic. No loud, flashing, or disruptive displays without prior approval.
11. Unlicensed, Counterfeit or Bootlegged Items. All merchandise must be properly licensed. Sale of counterfeit goods is grounds for immediate expulsion and potential legal action.
12. AI Generated Artwork. Vendors must label AI-generated artwork clearly. The sale of AI-generated work without appropriate disclosure is prohibited.
