Fort Gaming Palooza, LLC Policies and Procedures

Purchase and/or use of a badge at the convention constitutes an awareness and acknowledgement of convention policies outlined below as well as agreement to abide by all convention policies. Fort Gaming Palooza, LLC, reserves the right to revoke any member(s) badge(s) for violation of any of its policies. A member who has questions or concerns about any policy of Fort Gaming Palooza should talk to the con committee.

GENERAL MEMBERSHIP Individual participants of Fort Gaming Palooza, including minors, must purchase a membership for that year’s convention. A convention badge signifies individual membership. Membership includes the right to attend the convention and to receive a convention badge and program. A convention badge grants the member convention entry for the day(s) indicated on the member’s badge. Membership rates: Friday Night Event -- $35 Saturday General Gaming -- $20 Sunday General Gaming -- $15 Youth One Day Admission (Saturday or Sunday) -- $10 Youth Weekend Pass (Saturday & Sunday) -- $15 Warhammer Tournament -- $40 Weekend Pass -- $30 Volunteer Badge -- 100% comped for 8 hours

BADGES The purchase of a Fort Gaming Palooza (hereafter FGP) badge admits one person to general* gaming activities and exhibits at the convention during scheduled hours for the day(s) purchased. Purchasers of FGP badges agree to abide by all FGP policies and to FGP’s waiver of liability. Badges may be picked up at the registration desk on the day you are attending the convention. The registration desk is located inside the front entrance of the Fort Atkinson Club. If you are attending both days of the convention, you need only pick up your badge on Saturday. You will need to present proof of identification to pick up your badge. You are responsible for your badges over the time of the convention. Parents or legal guardians are responsible for minors’ badges. We cannot replace lost badges. * Badges for the Warhammer Tournament include general admission on Saturday and Sunday. Badges for the Friday Night Special Event only admit members for that evening’s event.

REFUNDS With the exception of an unforeseen need for the convention committee to cancel the event, there are no refunds for any reason. If you purchase a badge and find you are unable to attend, FGP may roll over your membership for the following years’ convention.

COVID POLICY We reserve the right to adjust this policy depending on CDC guidelines and the state of the pandemic at the time of the convention. By purchasing a badge, you agree to abide by FGP’s Covid Policy now and on the dates of the convention. Fort Gaming Palooza requires that all attendees, including gamers, staff, game managers, and vendors, wear masks at all times while indoors at the venue--with the limited exception of when one is actively eating or drinking. You are required to wear a mask regardless of your vaccination status. Masks will be available for purchase at the registration desk.

CODE OF CONDUCT Fort Gaming Palooza is a safe and welcoming space for persons of all backgrounds and descriptions. As a community, we insist on behavior that respects the autonomy of each individual member. To help ensure an enjoyable experience for all, we expect you to abide by the following guidelines. Fort Gaming Palooza will take appropriate action to enforce our code of conduct during the convention. Be respectful of others. Do not display potentially offensive images or symbols in public spaces. This includes images which are sexually graphic, or which carry connotations that are historically or racially offensive, including bigoted iconography or symbolism. Fort Gaming Palooza is an inclusive convention. Please engage in behavior that makes all members feel welcome. Do not engage in behavior that threatens or endangers the safety and wellbeing of others or their property. Keep content appropriate for all ages unless you are participating in an area or activity explicitly labeled for members aged 18 and older. Comply with all federal, state, and local laws and regulations. Comply with Fort Gaming Palooza policies as outlined below.

ANTI-HARASSMENT AND ANTI-DISCRIMINATION POLICY Fort Gaming Palooza members, volunteers, and convention staff have the right to be free from harassment and from discrimination. We do not tolerate harassment of any kind, nor discrimination based on age, race, class, gender, gender expression, sexual orientation, religion, ethnicity, national origin, or disability. Harassment is behavior which focuses unwelcome attention on a person or group and inappropriately crosses reasonable social boundaries or continues after a showing of disinterest or a request to stop. An explicit “no” or “stop” is not required. Advocating or encouraging such behavior is also considered harassment. Possible consequences of harassment include, but are not limited to, the revocation of the offending party/parties’ convention badge, ejection from the venue, and the involvement of local authorities. If at any time during the convention you feel unsafe or feel that you have been subjected to harassing conduct, please see any member of the FGP event team who can help you find a member of the con committee who will address your concerns promptly. FGP con committee members and the event team will be wearing green convention T-shirts.

ASSISTANCE Fort Gaming Palooza has event staff present to help everyone have a good convention experience. Event team members will be identified by wearing green FGP t-shirts and clearly labeled staff badges. Event staff will be able to answer basic questions and assist with basic requests. Event staff cannot resolve conflicts and disputes but will direct you to a con committee member who can. Please show respect to all volunteers and staff.

CONFLICT RESOLUTION Your health and safety are our most important concern. The con committee will assist in addressing any concerns and resolving any disputes to the best of our abilities. Any event team member can direct you to a con committee member. Event team members and con committee members will be wearing green FGP t-shirts. Con committee members will address complaints of harassment promptly. Should you experience or witness harassment, you may choose to take any of the following actions: If you feel safe and comfortable doing so, ask the offender to stop. Leave the area. (While this may be unfair to you, it may be necessary for your safety and well-being.) After separating yourself from the conduct, you may choose to take additional actions. Ask con committee members to step in. You may choose to find con committee member at the convention. You may also contact us at fortgamingpalooza@gmail.com. (If emailing, please put “Complaint” in the subject line.) Contact police or other appropriate authorities if necessary.

SANCTIONS Fort Gaming Palooza participants who are asked to stop harassing behavior are expected to comply immediately. If a participant engages in harassing behavior, event committee members may take any action they deem appropriate, including warning the offender, expelling the offender, or banning the offender. Specific sanctions may include but are not limited to: Warning the harasser to cease their behavior and informing the harasser that any further reports will result in further sanctions, Requiring that the harasser avoid any interaction with, and physical proximity to, their victim for the remainder of the event, Requiring that the harasser immediately leave Fort Gaming Palooza without refund and prohibiting their return, Not allowing a person who has violated FGP’s anti-harassment policy to attend future FGP cons, Publishing an account of the harassment, Reporting the incident to appropriate authorities.

PARTICIPANTS UNDER THE AGE OF 18 & YOUTHS (14 and under) The state of Wisconsin defines a minor as a person under the age of 18. Fort Gaming Palooza requires that members under the age of 18 must be accompanied at the con by a parent or legal guardian. The parent or legal guardian must purchase their own member badge and must remain on-site for the duration of their accompanying minor member(s)’ time at the convention. Unless minor members under the age of 14 are engaged in scheduled con events or games, these minor members must be supervised and accompanied by their parents or legal guardians.

WARHAMMER & MINORS Parents and chaperones of minor members should be advised that the River Level of the Fort Atkinson Club is reserved for the Warhammer Tournament. Minors must be accompanied by parents or designated chaperones on this level. Any issues that arise concerning minor members in this section will be addressed by the sole discretion of the con committee and con committee decisions are final.

SMOKING Smoking is prohibited anywhere inside the Fort Atkinson Club. There is a smoking area in front of the Fort Atkinson Club, at the foot of the stairs, by the Ash Stash.

FLYERS & ADVERTISING Flyers and advertising material may not be distributed outside the Fort Atkinson Club. Nor may they be posted in any public restrooms or handed out to convention guests. Vendors and exhibitors may display advertising material at their table. There will be limited space at the registration table for such material with prior approval of the event organizers. WEAPONS Weapons of any sort are not allowed at Fort Gaming Palooza. This includes attendees who maintain a conceal carry permit from any state. (Sworn law enforcement officers who are on duty are exceptions to this policy.) Attendees who choose to ignore this policy will be asked to leave; their badge will be revoked without refund.

ACCESSIBILITY The Fort Atkinson Club is an ADA compliant building. An elevator is located to the right of the building with a driveway for drop offs. Please keep this driveway clear for accessibility.

There are two designated accessible parking spots located at the front of the Fort Atkinson Club.

FGP team members will assist any member who asks for assistance or accommodations during the convention.

PRIVACY As a participant in Fort Gaming Palooza, you agree to allow yourself and your attending minors to be photographed by convention staff for future use in publication and advertising.

CANCELED EVENT If for any reason (such as a pandemic), the convention must be cancelled, FGP will contact members and refund badge purchases or roll over membership to next year’s event.

WAIVER OF LIABILITY Purchasing a membership badge implies consent to the following waiver for the badge holder and any minors for whom you are purchasing a badge:

I hereby release, waive, and forever discharge any and all liability claims and demands of whatever kind or nature against Fort Gaming Palooza and its affiliated partners and sponsors, including in each case, and without limitation, their members, officers, employees, volunteers and the agents (the “released parties”), either in law or in equity to the fullest extent permissible by the law, including, but not limited to, damages or losses caused by the negligence, fault, or conduct of any kind on the part of the released parties, including but not limited to death, bodily injury, illness, economic loss, or out-of-pocket expenses, or loss or damage to property which I, my heirs, assignees, next of kind, and/or legally appointed or designated representatives may have, or which may hereinafter accrue on my behalf, which arise or may hereafter arise from my participation with the activity.
